1.General Accommodation Rules

1.1.Check-in & Check-out: Check-in is after 14:00. Check-out is before 12:00. Early check-in or late check-out requires an additional night’s charge.
1.2.Reservation Changes: No refunds for reservation changes within 30 days of the tournament. Medical exceptions apply.
1.3.Accommodation Decisions: Room allocation and changes are managed by Royal Cup staff. Specific room preferences may incur extra costs.
1.4.All Inclusive Accomodations: Breakfast, Lunch and dinner will be served open buffet style.
1.5.Participation, accommodation and transportation fees are included in the total price.

2.Price does not include

2.1.Additional Extra individual expenses.
2.2.Tournament sports insurance for players.
2.3.Supervised services.
2.4.Any items not explicitly outlined as included in the program.

3.Rooming List

3.1.Teams must submit a final room list 30 days before the tournament.
3.2.Minimum participant numbers are included in the tournament rules file for each tournament.
3.3.Players must stay in triple rooms and staff must stay in single or double rooms.
3.4.Royal Cup may not permit or may incur extra costs for any rooming modifications made within 15 days before the tournament starts.

4.Meals

4.1.Participants must comply with the meal times determined by the hotel. Requests for changes to meal times are subject to mutual approval and should be discussed one day in advance.
4.2.Players who have any food allergies are responsible for informing tournament and hotel management. Otherwise, the hotel and tournament management are not responsible for any allergenic diseases that may occur.

5.Transportation

5.1.Teams must submit their flight schedules at least 30 days prior to the tournament.
5.2.Half a litre of drinking water per person will be provided in the transfer vehicles.
5.3.If necessary, transfer vehicles may be shared by 2 or 3 teams to optimize transportation efficiency.
5.4.Transfers are carried out by licensed transport companies and will be done with air-conditioned vehicles.
5.5.Families and fans cannot ride in transfers organised for teams.
5.6.The fields are located within the hotel where accommodation is provided and there is no need for transportation.

6.Payment Terms

6.1.First Payment (Registration Fee):
6.1.1.The tournament registration fee is set at €650 per team.( All taxes are included.)
6.1.2.After completing the application form, teams will receive an official offer from the tournament official e-mail address. Payments will be received via the payment link or bank account number provided in the offer.
6.1.3.After the payment is made, the team receipt must be sent to the same e-mail address and then participation in the tournament becomes official.

6.2.Second Payment (Tournament Package):
6.2.1.The tournament package is set at €255 per person. (All taxes are included.)
6.2.2.The total amount, which will be determined according to the number of participants, must be paid by the team at least 60 days before the tournament.

7.Cancellation terms

7.1.The first payment, which is the tournament registration fee, will not be refunded unless there are major reasons such as earthquake, war or pandemic…
7.2.Participants have the right to cancel 100% of the 2nd payment they made for the tournament package up to 60 days before the start of the tournament.
7.3.If a participating team cancels between 50 days and 60 days before the tournament, the organization has the right to charge a 25% no-show fee on the 2nd payment.
7.4.If a participating team cancels between 40 days and 50 days before the tournament, the organization has the right to charge a 50% no-show fee on the 2nd payment.
7.5.If a participating team cancels between 30 days and 40 days before the tournament, the organization has the right to charge a 75% no-show fee on the 2nd payment.
7.6.In case of cancellations made 30 days or less before the tournament, the organization is not obliged to make a refund on the payment made.

8.Standard rules of conduct

8.1.Sportsmanship : All participants are expected to conduct themselves in a manner that reflects good sportsmanship and respect for others.
8.2.Team Responsibility :Team staff listed on the participant roster are responsible for the conduct of their players and any damages caused in sports facilities, dressing rooms, accommodations, or other areas.In the event of any damage, team staff must promptly notify the tournament organizers.
8.3.Quiet Hours :Quiet hours must be observed in accommodations between 23:00 and 08:00.

9.Required documents for accreditation

9.1.All participants must have their passports with them.
9.2.List of names of participating players, taken from their clubs or academies (Must be officially signed and stamped.)

10.General Insurance and Responsibility Rules

10.1.Medical Insurance Requirement: Every player must have medical insurance coverage.
10.2.Coverage Scope: Ensure that all players are insured both on and off the playing field.
10.3.Royal Cup Liability Disclaimer:The Royal Cup does not provide group insurance for participants in case of injury, illness, death, theft, or property damage. The organization is not responsible for any accidents, injuries, illnesses, deaths, or economic losses resulting from events such as war, civil disturbances, actions by authorities, strikes, natural disasters, epidemics, or similar occurrences. These are the responsibility of the teams or groups.
10.3.Health and Safety Measures: The Royal Cup organization will implement health and safety measures throughout the tournament to ensure the well-being of all participants.

11.Accreditation

11.1.Passport Submission
Upon hotel check-in, team officials must submit the passports of all participants at the registration desk.Passports will be returned to the team officials after the verification process is complete.
11.2.Pre-Match Accreditation Check
11.2.1.Teams must be ready for accreditation checks at least 30 minutes before each match.
11.2.2.Teams should have a player list with jersey numbers and either photo ID cards or passports available for verification.
11.2.3.The player list should be submitted to the match officials prior to the game.
1.3.Player Eligibility
11.3.1.Fielding players not listed on the submitted roster may result in the team being disqualified from the tournament.
11.3.2.Any changes to the roster must be communicated to and approved by the tournament organizers prior to the match.
11.4.Age Verification
11.4.1.Age verification will be conducted both at check-in and before each match.
11.4.2.Players found to be ineligible due to age discrepancies will not be allowed to participate, and the team may face penalties or disqualification.
11.5.Compliance and Conduct
11.5.1.All teams must comply with the accreditation process and cooperate with the tournament staff.
11.5.2.Any attempts to circumvent or falsify accreditation information will result in immediate disciplinary action, including potential disqualification from the tournament.

12.Permission to Participate in Royal Cup

12.1.Foreign teams must obtain an authorization letter from their respective football federations or school football associations to participate in the tournament.
12.2.It is the responsibility of the participating teams to ensure they have the necessary permissions and authorizations.
12.3.Royal Cup is not responsible for any issues arising from the lack of proper authorization.

13.Organizing Committee

13.1.Organizing Committee & Jury of the Tournament
13.2.The tournament’s organizing committee is composed of representatives from the Royal Cup and is responsible for managing protests, sanction issues, and unforeseen circumstances.
13.3.All incidents will be thoroughly analyzed with a commitment to “Fair Play.”
13.4.Decisions made by the organizing committee are final and cannot be appealed. It should be noted that the ultimate decision may not align with a FIFA rule but will be grounded in the principles of Fair Play.

14.Other Considerations

14.1.Lost Items: The organization is not responsible for theft or loss of personal belongings.
14.2.General Image Authorization Terms : From the day of check-in to the day of check-out, the organization has the right to use all photos and videos taken during the event for promotional purposes without any charge.
